From signing up to your first automatic reply

Three steps and the bot starts answering. Everything else can wait until you want it.

1 · Getting started

There is nothing to install. All you need is a browser — the system runs on our servers and keeps answering while your own computer is off.

1Sign upAn email address and a password — and a workspace of your own opens in the dashboard.
2Name the businessThe name appears on your invoices and on the messages the system sends.
3Connect a first channelWhatsApp or Telegram — each one is covered further down this page.
4Write one fixed replyA keyword and an answer. From there you can watch the thing reply.

2 · Connecting WhatsApp

The connection works like any linked device: the phone stays the owner of the account, and our server joins it as one more device. Link it by scanning a QR code, or with a pairing code typed on the phone.

1In the dashboard: Channels → Add a channel → WhatsAppChoose a QR code or a pairing code, and accept the terms.
2On the phone: WhatsApp → Settings → Linked devices → Link a deviceThe same path you use to link WhatsApp Web.
3Scan the code off the screenThe code refreshes by itself until it is scanned, and the link is stored encrypted. Open WhatsApp on the phone at least every 14 days, or WhatsApp unlinks the device.
4Send a message from another phoneIt appears on the Conversations screen at once, even before you have written a fixed reply.
Automating an ordinary WhatsApp account is against WhatsApp’s terms of service and can lead to a block. Leave the rate limits on and start at low volume. The full explanation.

3 · Connecting Telegram

Telegram runs on the official Bot API. There is nothing to host and no address to set up — Telegram delivers the messages straight to our server.

1Open a chat with BotFather on TelegramIt is Telegram’s official bot for making bots.
2Send the command and pick a nameThe display name is free; the username has to end in bot./newbot
3Copy the token it sends backKeep it like a password — whoever holds it controls the bot.7812345678:AAH-xxxxxxxxxxxxxxxxxxxxxxxxxxx
4In the dashboard: Channels → Add a channel → TelegramChoose “Connect a bot I already have” and paste the token. It is stored encrypted, and the bot starts answering at once. The same bot cannot run in two systems at the same time.

4 · Messenger and Instagram (coming soon)

Coming soon. The connection to Messenger and Instagram is built and waiting for Meta’s approval. Once it opens, Messenger answers a Facebook Page’s inbox and Instagram a professional account — with the same fixed replies, menus and contacts.

1Sign in to Facebook, from a computerOn the Connections screen choose Messenger and sign in with the account that manages the Page. Facebook’s business login does not work on a phone.
2Choose the PagesTick which Pages — and which Instagram accounts linked to them — Concierge answers for. A Page can belong to one workspace only.
3Instagram: a professional accountA business or creator account, through the linked Page or by signing in to Instagram directly.
4The same replies, the same customersMessenger and Instagram will work with the same fixed replies, menus and contacts as every other channel.
Meta lets a business reply only within 24 hours of the customer’s last message. After that the bot sends nothing on its own, and campaigns do not go out on these channels at all.

5 · Your first fixed reply

A fixed reply is a condition and the answer it sends. Start with keywords — it is the kind that covers most of the questions that keep coming back.

A fixed reply’s fields
When
Keyword
A keyword, a regular expression, a greeting for a new customer or a message outside opening hours.
Words
price | how much | cost | quote
Each word is checked on its own; the whole sentence does not have to match. Capitals and extra spaces do not matter.
Reply
Hi {{contact_name}}, the price list starts at ₪1,840 + VAT. What height do you need?
A question at the end of the reply makes people far more likely to carry on.
How often, per customer
At most once an hour
This fixed reply’s own cooldown, per contact, so the same reply does not repeat inside one conversation. “Every time” is an option too.
Order
First in the list
The fixed reply at the top is checked first. Change the order with the arrows beside each one.
Applies to
Every connection
A fixed reply can be limited to one channel or to chosen connections, and the more specific ones are checked first.
Variables you can drop into a reply
{{contact_name}}The contact’s name
{{time_of_day}}morning · afternoon · evening
{{account_name}}The name of the connection that received the message
{{business_hours}}The opening hours you set

You can also make your own: a question in a menu saves the answer to a field on the contact’s card, and from then on {{customer_age}} means what that customer wrote — including in fixed replies that answer months later.

6 · Your first menu

When one reply is not enough — you need to know which service they want, say, or an order number — a menu runs the conversation in steps and remembers where each contact got to.

Opening fixed reply
A fixed reply with keywords that opens the menu — that is what starts it.
Menu
A message with numbered choices, and a separate follow-up behind each one.
Question
An open question. The answer is saved to a field on the contact’s card.
Booking
Offers up to five times and books the one chosen into the calendar.
Hand-off
A menu choice can hand the conversation to a person, and your team is told a customer is waiting.
A menu shows as buttons on Telegram and as a numbered list on WhatsApp. You write it once; each channel is handed the shape it supports. Menus are included from the Starter plan up.

7 · Calendar and booking

The calendar holds every appointment — the ones your team books and the ones the bot books in a conversation. For the bot to offer times it needs three things: opening hours, at least one service, and a menu with a booking step.

Opening hours
In Settings: one opening window for each day of the week, a time zone, and closed dates such as a vacation or a holiday. Outside them the bot offers no times.
Services
On the calendar, under Services: a name, a length, a gap after each appointment, how much notice is needed and how far ahead it can be booked.
A booking step
In a menu: the bot offers up to five times — buttons on Telegram, a numbered list on WhatsApp — and books the one the customer picks. The next step can put {{appointment}} into the confirmation.
Google Calendar
Optional: sign in with Google and tick which calendars count as busy. The bot reads only when you are busy. Choose a calendar for appointments too, and every appointment booked is written into it, and moved or removed along with it.
With no opening hours or no service switched on, the bot offers no times and the conversation carries on to your other fixed replies. The confirmation, reminder and follow-up for appointments are switched on in Settings, under Appointment messages.

8 · Limits, AI and voice notes

The defaults are deliberately conservative. Change them gradually, once the Conversations screen has shown you the bot behaving the way you expected.

Shortest and longest wait before a reply
A random pause before every automatic reply. Do not go below one second.
2–8 seconds
Cooldown per customer
Per contact, and kept on the server, so disconnecting and reconnecting the channel does not reset it. Each fixed reply can have a cooldown of its own as well.
60 seconds
Cap the messages sent each day
Counted per connection. Messages you send yourself do not count.
Off · 200 suggested
Opening hours
Used by the “outside opening hours” fixed reply, for the times the bot offers for bookings, and for when campaigns may send.
Sun–Thu 08:00–17:00
Answer with AI when no fixed reply matches
From the Starter plan up. Each reply counts towards the plan’s AI allowance.
Off
About the business
What the AI needs to know: hours, prices, policies. The more precise it is, the better the answers.
Up to 4,000 characters
Voice notes
A longer recording is logged without a transcript. 0 turns the limit off.
On · up to 5 minutes
Language customers are written to
Or “whichever the customer writes in” — the bot detects the language and matches its own built-in messages to it. Your fixed replies are sent as you wrote them.

9 · Your plan and billing

Which plan you want depends on how many channels are connected, how many people answer, and what you need it to do. The full comparison is on the pricing page, and where your workspace stands right now is on the Plan & billing screen in the dashboard.

1A free weekIt starts the moment you sign up, with no card, on the Basic plan: one channel, fixed replies, contacts and transcription.
2Pick a planBy how many channels are connected, how many people answer, and whether you want AI replies, menus and campaigns.
3Watch the allowanceThe Plan & billing screen shows what has been used this month, and what happens when it runs out.
4Change it any monthMoving up applies straight away, and you pay only the difference for the rest of the month. Moving down, or stopping, takes effect at the end of the month already paid for. Until online payment opens, ask for the change on the Plan & billing screen.

10 · When something does not work

Check three things in order: that the bot is not paused, that the connection shows as connected on the Connections screen, and that a fixed reply matches the message. If all is well, open the conversation on the Conversations screen: beside the message is the reason no reply went out.
